Logins

Logins controls which Company Contacts can log into Horizon and what features they can access..

Grid

A grid of logins is displayed and can be sorted by the column headings. Click on a login to select it. Settings are changed for the selected login.

  • Include inactive logins – inactive logins are included in the grid.

Settings

  • Login – login username. Usernames must be unique.
  • Reset password – a temporary password is emailed to the company contact linked to the login. The user can then choose his or her own password.
  • Contact – company contact linked to the selected login.
  • Auto start – select which module you want to automatically open after you have logged in.
  • Process type – default process type set for new transactions created by this login.
  • Cost centre – default cost centre set for new transactions created by this login, except where a default cost centre has been set for the trader.
  • Email password – the selected login's Office 365 password, set so emails can be sent from the user's email account. If this left blank, then the Company Set-up email settings are used.
  • Contract priority – linked to company option Allow change contract price below set priority which controls if a user can change contract details. If Contract priority is equal to or greater than the contract's Priority, then the user can change that contract's details.
  • Security level – sets access at different levels of information on the trader card.
  • Default SL bank – sales ledger default bank account
  • Default PL bank – purchase ledger default bank account
  • Use security – if cleared, security settings are set up for the login using Define Security. When another login is selected, the login inherits security settings from that login.
  • Use layouts – if cleared, the login can set up daybook layouts . When another login is selected, the login inherits layout settings from that login. If a login is selected, the Save buttons on daybooks will be hidden.
  • Limit traders – limit the login to access the type of trader. If clear, all trader types can be accessed. To limit, type the trader type code: S - Customer, P - Supplier.
  • Super user – login can see:
    • all the information on the trader card
    • database transactions
  • Credit controller – login can modify information on the trader card in the colour-coded credit control panel.
  • Hide disabled menus – when selected, menu items that are cleared in Define Security are hidden. When cleared they are displayed but unavailable.
  • Disable What's New – do not show the What's New page after logging in.
  • Limited rep – login can only view the traders (from the Trader Card, and when creating new orders and other transactions) to which he/she has been allocated.
    • The contact linked to the login is allocated a rep under the Company Contact Details tab.
    • Traders can be allocated a rep under the Trader Details tab.
    • When Limited Rep is selected:
      • the login can only view and edit the traders (and create transactions for them) who have been assigned the same rep as they have
      • where a customer has been assigned to them, when they create a sales order, they are automatically assigned as Rep to the order.
    • Select Traders – In addition, the login can view and edit the traders added to this list.
  • Limited rep and account manager – control which traders and transactions an account manager and rep can see.
    • If a Rep or Account manager is selected on the Trader card, then they are limited to:
      • search for and open the trader card;
      • search for transactions using Document search;
      • view or open transactions from daybooks;
      • use Call manager to view or create calls, or CRM to view or create actions;
      • search for transactions in Analysis;
      • view contracts from the stock card ledger.
    • If Rep is blank on the Trader card, then company logins are not restricted.
  • See grp entries/traders – works in conjunction with Limited Rep. In the linked Contact's Rules, a Manager/Group can be selected for all the logins with the same role, e.g. sales clerks. When Limited rep and See grp entries/traders are both selected, the contact can view the traders that match the rep set on his/her contact and the traders that are similarly linked to the contact's group members.
  • See other traders – works in conjunction with Limited rep. When Limited rep and See other traders are both selected, the login can view all traders, but can only edit traders that match the rep set on his/her contact.
  • Limit to own branch – limits the selected login's access to their login branch only for:
    • Daybook listings
    • Stock Card supplier selection
    • Document search
    • Trader browse
    • Trader card
    • Analysis.
  • Inactive – sets the login as inactive so he/she cannot log in.
  • Define security – sets the selected login's access to different Horizon menus and options.
  • Clear layouts – resets window layouts to the default sizes for the selected login.
  • Clear settings – the selected login's settings configuration is cleared. Settings that can be set to persist include:
    • Look and Feel settings, including window positions and sizes.

      Note: If you alternate between single and dual monitors systems, resetting your window positions can be useful.

    • Trader Browse, Overview and Credit Control settings.
    • Highlight Duplicate lines option in the footer of transaction windows;
    • PGIN Shortage settings.
      Using the Clear Settings option is audited on the Report Audit.
  • Select reports – select reports that will be shown for the selected login's Reports menu.
  • CRM action defaults – default settings used when the login creates a new action.

After changing settings for the login, click:

  • ✓ – confirm changes.
  • ✗ – discard changes.

To add a new login, click +.
