Contacts – Details

Complete the details for a trader's contact. For a Customer trader, the contact is someone who places orders with you, such as a HorizonWeb user. The style you choose to use within the following boxes will depend upon your company's policy regarding business correspondence.

  • Display name – used to greet a contact after he/she logs into HorizonWeb, in the C:Login Box control. Also used on forms, such as letters for customers.
  • Forename(s) – contact's forename. Used in forms, Call Manager, CRM and Maxemail +.
  • Surname – contact's surname. Used in forms, Call Manager, CRM and Maxemail +.
  • Title – the contact's title, e.g. Mr, Mrs, Ms, Dr, Professor, Lord, Sir etc. The ellipsis [] button opens a window where titles can be configured. Can also be configured to be free typed if you don't want to set each up.
  • Salutation – How your contact would like to be addressed, e.g. Ms. Wright, or, Sandra, or Wrighty. This can be used in forms, or when greeting your customers on HorizonWeb
  • Job title – the contact's business title, e.g. Sales Director.. The ellipsis [] button opens a window where titles can be configured. Can also be configured to be free typed if you don't want to set each up.
  • Type – click a contact type. Click the ellipsis [] to define contact types.
  • Rep – click a rep, defined in Company Set-up > Reps.
  • Email – email address of customer. Must be set for HorizonWeb users.
  • Note: Trailing spaces are removed when confirming changes.

  • Telephone numbers – displayed in Call Manager and CRM
    • Telephone number
    • Extension
    • Mobile telephone number
    • Fax number

    Note: When sending order information using opXML orders:

    • If a contact's Mobile number is present, it will now be sent as the contact telephone number
    • If no Mobile is available, the Telephone number will be used instead.
    • Works with Allow delivery texts (selected by default). When selected, your contact's telephone number is included with the order. When cleared, no number will be sent.
  • Loyalty points – number of loyalty points the contact has accrued.

    Note: Loyalty points can be updated if the user has the user option Disable modification of contact loyalty points cleared.

  • Available loyalty
  • ID – unique reference for the contact, as used for the Seller Reference in EvolutionX > Accounts > (Account) > Users. Comparing the Horizon contact to the EvolutionX user's Seller reference is a useful check us to whether contacts have been synchronized between the applications.

Options

  • Allow telesales
  • Allow faxing
  • Allow mailshots
  • Allow e-marketing – when selected, the contact will appear in a CRM search.

    Note: Contacts must have "opted-in" to receive e-marketing correspondence from you. If you do not understand the legal implications, of selecting Allow e-marketing, to your company, do not select this option. Instead, ask your directors for training, and consult the Information Commissioner's Office website (external site). Consult the sections "For organisations" and "Action we've taken". Under GDPR, the data processor must seek consent (a clear affirmative act – external link) from the data subject to contact him or her by phone, mail or email for marketing purposes. A data subject must also be able to withdraw consent as easily as he or she gave it.

  • Do not substitute items – in Horizon, when entering orders, displays a pop-up asking the user not to substitute items for this contact. Applies to swaps using the Replace and Switch switch sell types.
  • In use – the contact is an active contact for the customer, and so can be configured, for instance, to receive emailed documents. If the contact leaves the business, then clear this tick box.
  • Disable switch sell – stops switch sells for the contact on Horizon and HorizonWeb.
  • Ignore min order – The Min order value set for the customer is ignored for this contact.
  • Allow delivery texts – when present includes the contact's mobile (or telephone) number in opXML orders. The contact can then be sent SMS notifications, if the courier used supports this and is sent the number by the supplier.

    Note: The Information Commissioner’s Office says you can rely on 'Contract' as a legal basis (external link) for processing someone's data to deliver a contractual service to them.
