Adding a Reason to a Purchase Return Line

Purchase returns are usually created by reversing a purchase order. The transaction will automatically include account details and lines which mirror the purchase order. Lines can be deleted and quantities amended if part of an order is being returned.

If you want to return one line, open the purchase order, right-click the line you want to return and click Return Line.

When returning one line, the process lets you select reasons for the return. Reasons are displayed underneath the detail line or in the Detail list. If you reverse the whole purchase order, you can subsequently add reasons to lines.

  1. On the Purchases menu, click Orders and Returns. The daybook opens.
  2. If you haven't created the purchase return, find the purchase order and reverse it.
  3. Open the purchase return. There will be no reasons under the detail lines.
  4. If Reason isn't a column heading, you will need to add the field to the headings row.
    1. Under the Detail tab, right-click a column heading, and from the context menu, click Field Chooser.
    2. Scroll down to Reason, and drag it to a position in the column heading row.
  5. For each line, select a reason for its return. Click Confirm.

    Note: The reasons for return are set up in Set-up > Company > Returns.
