Configuration
There are two parts to the configuration, FTP and File Contents.
FTP
Suppliers must upload their delivery confirmation files to an FTP site. the files are collected and imported by the Orders and Receipts Import Service.
Each configured supplier is added to the list at the top of the window, under the Config tab.
- On the Utilities menu, click Delivery Tracking Configuration.
- Click the Config tab. The grid at the top of the window displays the suppliers you have configured.
- To create a new configuration, click the green plus button, located below the grid. A blank row is added to the grid.
- In the Supplier list, click the name of the supplier.
- In the FTP location box, type the server the file is uploaded to by the supplier.
- In the Username box, type the username supplied by your supplier.
- In the Password box, type your account's password.
- There are three FTP server settings. You supplier will give you this information about their server:
- FTPS – select if FTP Secure is used (this is not the same as SFTP. We support FTPS).
- Use passive mode – select to use passive mode, clear to use active mode.
- TLS version – if the server uses FTPS, it will be secured by a certificate. Select the highest version the certificate supports.
- In the File-name box, type the name of the file your supplier uploads. Each file-name will be different, so you can use wildcard characters to represent characters.
Example
DelTracking*.csv – the service will attempt to import all files that start DelTracking and have a csv file extension.
*.csv – all CSV files.
*.* – all files.
Limiting the file-name stops possible errors if the wrong file is placed in your collection folder.
- In the Delimiter list, click the name of the character used to separate values in the file. This is usually Comma.
- In the Lines to skip box, type the number of lines Horizon should miss when parsing the file. This is often 1, because the first line of the file is often used as a header which describes the column names.
- In the Every box, type how often the delivery confirmations can be collected. The minimum value is 60 minutes.
- In the Time from and Time to boxes, type the time range over which the service should run. Make sure the service is not running overnight and concludes at the end of your business day.
- Click the green tick below the supplier list. The configuration is saved and the supplier added to the list.
File Contents
The information in the file your supplier creates must be matched to where it is used in Horizon.
Note: The sales order the delivery tracking information is added to must have the Delivery method: Customer Delivery by Supplier (pick & wrap).
- In the supplier list at the top of the window, click the supplier you want to configure.
- The delivery confirmation will have information in different columns. Type the column number in each box, where Column A in the CSV file = 1, B=2 etc. 0 means that the column doesn't exist in the file.
- The delivery confirmation can be matched to a sales order by:
- Purchase order: Our reference – document number for the purchase order.
- Sales order: Our reference – document number for the destination sales order.
- Sales order: Your reference – Customer tab > Reference.
Note: These fields are checked in order. For instance:
- If the sales order is matched from the purchase order's our reference, the sales order's our reference and your reference will not be checked.
- If no purchase order reference is supplied, then the sales order our reference will be used, and so on.
- Trader column – optional column,
- Product column – The sales order must contain this product code.
- The remaining columns contain information that is added to the sales order:
- Tracking ref column – courier's tracking reference;
- Courier column – name of the courier;
- Delivery date column – date of delivery;
- Box count column – how many boxes are in the courier's delivery;
- Quantity column – product quantity;
- Tracking link column – URL for delivery service.
- Click the green tick to confirm your changes.
Processing
The files are processed according to the schedule. The file is removed from the FTP folder after processing.
Note: Hidden carriage return and line feed characters are ignored.
Importing a File Manually
If you need to import delivery tracking information immediately, you can import a file manually.
- The Delivery Confirmation Configuration must be set up as described above.
- Click Apply Manually. The Delivery Tracking file explorer opens.
- Navigate to the file you want to import, select it, then click Open.
- You are notified when the file has imported. You can also check the Log.
