Catalogue Distribution

In order to order from a catalogue's items, the catalogue must be distributed to a customer.

Note: Only catalogues that match the customer's Currency should be distributed to a customer. As well as ensuring prices are in the correct currency, this also lets HorizonWeb display a currency symbol to the logged in contact.

Distribution Visibility Tabs

Click a tab to see a list of catalogues distributed, and therefore visible, in the following ways. To change a catalogue's Visibility, use Catalogue Modify.

  • Customer Specific – the catalogue can only be used by the trader selected
  • Distributed – the catalogue is distributed to customers in the Distributed to list.
  • Public – distributed to all customers.
  • Private (Internal) – the catalogue contains items that you don't want to make available to customers.
  • (under Test) – newly imported catalogues are set to (under Test) so you can check them before changing the visibility to Distributed or Public.
  • Web Offers – catalogues reserved for HorizonWeb. These items will be displayed on the Offers tab.
  • Active only – when selected only Active catalogues (set in Catalogue Modify) are displayed.

The customers, which a catalogue is distributed to, are listed under the Distributed To tab.

Distributing a Public Catalogue

Public catalogues can be seen by all customers, unless Prevent is selected.

  1. From the Set-up menu, click Catalogues. The catalogues grid is displayed.
  2. Click the Public distribution filter tab.
  3. The Distributed To tab is bottom left of your screen. Right-click within the list below the tab and click Add trader. The Find Trader window opens.
  4. Type within the Account, Reference or Name boxes and press Enter. A list of matching traders in returned in the list.
  5. Click the trader you want to add, then click OK. The trader is added to the list.
  6. Select the Prevent option if you want the customer to not see the otherwise publicly visible catalogue.
  7. To remove the customer from the list, right-click the customer, and select Remove Trader.

Distributing a Customer Catalogue

Distributed catalogues can be seen by customers added to the Distributed to list.

  1. From the Set-up menu, click Catalogues. The catalogues grid is displayed.
  2. Click the Distributed distribution filter tab.
  3. The Distributed To tab is bottom left of your screen. Right-click within the list below the tab and click Add trader. The Find Trader window opens.
  4. Type within the Account, Reference or Name boxes and press Enter. A list of matching traders in returned in the list.
  5. Click the trader you want to add, then click OK.
  6. Select the Prevent option to stop the distribution of the catalogue to the customer.

Clearing the Distribution List

The distribution list, from the Public, Distributed and Web Offers tabs can be cleared.

  1. Below the Distributed to grid, click Clear.
  2. A Confirm window opens, Delete distribution list?. Click Yes to clear the list. You cannot undo this.
  3. The list is cleared.

Exporting the Distribution List

You may want to export the distribution list to another application.

  1. Below the Distributed to grid, click Export. The Export Grid window opens.
  2. In the Type group, click an export type.
  3. Click Preview to open the Excel spreadsheet in Horizon's spreadsheet, or the textfile or CSV file in Horizon's word processor.
  4. In the File-name box, type a name for your file.
  5. Click OK. If you are previewing, the file opens in the Horizon application, otherwise, a Save As window opens.
  6. Navigate to where you want to save the file, then click Save.

Copying and Pasting the Distribution List

You can copy and paste a distribution list between catalogues.

  1. Click the catalogue, whose distribution list you want to copy.
  2. Under the Distributed to list, click Copy.
  3. Click the catalogue that needs the distribution list.
  4. Under the Distributed to list, click Paste. The distribution list is now updated.
